As a member of the People & Operations team, the People Operations Coordinator will play a critical role ensuring staff and corps have the necessary tools, resources, and support to drive student impact and operational excellence. Reporting directly to the People & Operations Director, the People Operations Coordinator will play a key role in staff hiring, onboarding, and human resources administration. S/he will support building, developing and retaining a diverse, engaged, and high-functioning staff. S/he will be responsible for site operations to optimize, integrate and align people processes with department and site wide initiatives City Year values and continuously works to build an equitable and inclusive culture where diverse people feel they belong. Job Description Hiring & Onboarding Lead hiring process for open coordinator level staff positions; reviewing resumes, conducting screenings, and providing resources support, and guidance to hiring managers Support hiring coordination and execution for all open position, including scheduling interviews, preparing interview materials, and maintaining candidate files Coordinate new onboarding logistics including ensuring all new staff have all necessary materials, information and support to start strong Partner with the People & Operations Director and site hiring managers to design and implement strong new hire onboarding experience Train and support staff with understanding and navigating CY benefits and organizational resources Coordinate staff background and compliance checks within all CY & federal timeline requirement Maintain database of all hiring materials Staff Engagement & Development Support Curate monthly email and maintain an internal website of professional development resources and opportunities Manage professional development partnerships and subscriptions Manage oversight of staff professional development funds including purchasing and tracking expenses Lead community building program connecting staff to field work in schools Lead cross-departmental staff community building committee Coordinate staff meetings and retreats logistics (including catering and setup) In partnership with Headquarters staff, coordinate annual online respect in the workplace training launch and progress monitoring for staff and corps Support implementation and analysis of staff surveys to support staff engagement and strong site practices Plan events and activities to celebrate and appreciate staff members, including holiday gatherings, celebrations, and seasonal initiatives Site Information Maintain site information tools (listservs, phone lists, emergency contact info, site calendar, etc.) Build and maintain City Year’s content management system to ensure effective collaboration and information sharing: Update system with timely and relevant information Organize and maintain updated site files Update and manage permissions Support ongoing site training and development Oversee updating and maintenance of internal photo directory Site Operations Oversee front desk during business hours, including fielding general calls and voicemails to office. Support site use of City Year human resources system, workday, including training staff Coordinate office space use; manage conference room calendars and coordinate guest reservations Maintain and improve operational processes and procedures to sure the site runs smoothly and efficiently including ensuring staff are fully trained and comply Coordinate staff and corps travel needs Support supply ordering in a timely manner to ensure staff have the materials they need to be successful Support management of office space to ensure consistent organization and cleanliness Serve on the corps onboarding committee, including supporting uniform distribution Support other department functions as needed Partner with CYLA departments and staff through confirmed corps and stakeholder engagement, event and service day participation and cross-departmental committees as needed to ensure site-wide goals are met Qualifications: 1-2 years relevant experience in non-profit, human resources, operations, education or related fields City Year/AmeriCorps experience preferred Strong attention to detail with a focus on results and process Exceptional organization and project management skills Excellent customer service skills; able to balance own projects against the needs of others Savvy with and interest in technology Strong track record of learning new technology systems and tools quickly Able to work effectively under pressure, handle competing priorities and respond to short deadlines with a team and independently Sets high expectations for self and others with a positive can-do attitude Proficiency in Microsoft Office Suite; experience with Workday or SharePoint a plus Experience with and commitment to community service, national service and/or the development of young people as leaders Additional Qualities Needed: In order to succeed in this role, an applicant must have the following competencies: Desire to Learn: City Year has a unique service model and organizational culture.
