Provide administrative support to Community Education and Professional Training/Healthcare Services Departments. Specific duties include, but are not limited to, coordination of community education and professional training events, data entry, maintaining databases, corresponding and coordinating with partner agencies, and assisting with various grant-funded activities. Essential Job Functions: · Coordinate the scheduling of community education events, confirming sites and secure speakers for Speaker’s Bureau, trainings, and issuing confirmation letters · Create packets of materials for events and trainings and mail to representatives · Maintain inventory of materials and ensure that all service centers maintain a supply for events · Maintain calendar of all community events · Coordinate data collection efforts across multiple departments and for multiple grants · Conduct ongoing data entry, including, but not limited to demographic data and evaluation surveys; ensure that data is correctly entered and cleaned, as needed · Maintain multiple data programs, including, but not limited to, grant-related evaluation databases, SurveyMonkey, DropBox, and Google Drive, and ensure accessibility among multiple project partners · Pull data and generate reports from various data programs · Manage education programs, trainings, and other event logistics, including creating marketing materials, announcements, registrations, ordering and preparation of materials, and event setup and breakdown. · Assist with formatting and updating educational materials, training, and other documents, including formatting and editing, and maintaining documents electronically and in hard-copy format · Assist with the coordination of respite grant awards under federal grants, as needed · Monitor education, and professional training sections of website for functionality, including submission of website updates to appropriate personnel · Assist with requests for document replication and coordinate with vendors, as needed · Prepare correspondence, reports, presentations, and other documentation using word processing programs and via electronic platforms · Maintain regular, timely, and effective communication with multiple project evaluators and project partners · Process mail and checks on a rotating basis · Provide backup for tasks assigned to other administrative assistants, as needed · Assist with special projects, as needed · Other duties, as assigned Qualifications, Skills, and Experience Required · Associate’s degree · Excellent English grammar skills – oral and written · Bicultural and bilingual in Spanish · Minimum 3 year experience with increasing responsibilities in administrative setting · Knowledge of MS Office Suite programs, including MS Publisher, Adobe, as well as Power Point, Lotus Notes, and other Windows applications · Knowledge of internet use and internet-based data programs, including SurveyMonkey, DropBox, Google Drive, and others · Excellent organizational and communication skills · Experience in a non-profit environment preferred · Strong math abilities a big plus Send cover letter, including salary requirements, and resume to: Alzheimer’s Los Angeles Attn: Human Resources 4221 Wilshire Blvd., Suite 400 Los Angeles, CA 90010 E-mail: email@example.com (Word attachments only: Include the job title in the subject line) Fax: 323-938-1036 Alzheimer’s Los Angeles (ALZLA) offers a competitive salary + benefits.
