The Project Assistant provides assistance and support to the Community Health Services Department in a variety of areas.  The Project Assistant provides administrative and clerical tasks of a relatively high level of complexity for the Healthy Families America and WIC program.  They include maintenance of HFA program databases and generation of reports, data entry and quality improvement reviews for various activities; and maintenance of curriculum supply inventory. The Project Assistant also provides support for staff at meetings and events and interfaces with the public, WIC and HFA partners, in person and by telephone.

  • Assists in performing quality improvement reviews for HFA program as part of HFA Program Quality Assurance Plan
  • Assists in preparation and maintenance of materials for HFA Program including the maintenance of the Parents as Teachers (PAT) Curriculum kits
  • Provides support for HFA project staff for meeting preparation and set-up for in-services and ongoing training sessions and collaborating partner meetings
  • Performs data entry and administrative and clerical support functions to maintain up-to-date and accurate database records; enters client information in the First 5 LA “Stronger Families Database”, generates reports and conducts research to resolve any discrepancies in the data
  • Assists the Chief, Community Health Services and HFA Program Supervisor in managing data and preparing reports and project-related documents, and supporting implementation of project related surveys
  • Assembles and organizes data and files, and assembles copies of project consent forms and data collection forms
  • Maintains HFA program supply and incentive inventory; and shops for Baby2Baby supplies for HFA program as needed 
  • Types, processes and files a variety of HFA program documents as needed
  • Answers telephone, transfers calls and takes messages; greets visitors, and provides HFA information when requested
  • Requests office supplies and other materials as needed
  • Participates in other activities under the direction of the Chief of Community Health Services or HFA Program Supervisor
  • Operates personal computer, photocopier, laminating machine, fax machine, and calculator; distribute incoming faxes
  • Serves as 4th Floor Receptionist; greet visitors and staff and directs them appropriately to their destination; answers telephone, retrieves and delivers mail for 4th floor staff
  • Assists the Chief, Community Health Services in preparation of presentation materials in supporting collaboration efforts with the WIC program
  • Promotes harmonious working relations among staff and program participants
  • Completes required reports and other paperwork in an accurate and timely manner
  • Follows established workplace ergonomic and safety recommendations
  • Maintains high degree of responsibility for client confidentiality and must not release any information to unauthorized persons
  • Maintains a pleasant, courteous, tactful attitude with all contacts
  • Works with minimal supervision in exercising initiative in organizing and completing daily tasks
  • Solves minor problems by using judgment based on knowledge of Company policies, practices and procedures
  • Meets SLAHP attendance and punctuality guidelines
  • Meets established productivity and task management standards for assigned duties
  • Overtime is a condition of employment and may be required based on the needs of the Company

Any combination equivalent to, but not limited to, the following: Typing 40 wpm.  Personal computer and common software (Word, Excel, PowerPoint, Publisher, etc.) knowledge with strong proficiency in Excel . Ability to navigate and access information on the internet.  Ability to learn new computer programs quickly, with appropriate training and practice.  Excellent written and verbal skills in English required. Ability to communicate with all levels of staff and community members of diverse backgrounds.  Positive attitude, strong teamwork skills, and ability to manage multiple tasks are essential. Interest in and experience working with public health/public policy/welfare programs and experience with community outreach preferred.

Minimum Job-Related Experience:

Three years experience with general office methods and practices; three years experience with personal computers in a Microsoft Windows environment; three years experience with Microsoft Word and Excel; one year experience with Microsoft Outlook; Microsoft Publisher and PowerPoint experience a plus.

Minimum Education or Training Requirements:

  • High school graduate, GED, or equivalent.   College-level coursework and completion of job-related training preferred

License, Certification, Accreditation, or Apprenticeship Requirements

  • Valid California Driver’s License
  • Proof of personal auto insurance
  • Personal transportation with current California registration


  • Ability to communicate clearly, both verbally and in writing; knowledge of correct English usage, spelling, grammar, and punctuation is required
  • Excellent typing and data entry skills with accuracy and attention to detail  
  • Strong knowledge of personal computer and common software programs. Ability to quickly learn new computer programs
  • Knowledge of standard filing systems and procedures; able to sort and file accurately and locate materials in files
  • Able to understand and learn pertinent procedures and functions quickly, and apply them without immediate supervision
  • Strong interpersonal communication skills in-person and over the telephone
  • Strong organization skills and ability to manage multiple tasks
  • Dependable personal transportation for traveling to work-related meetings, trainings, seminars and conferences
  • Sensitive to and respect for the cultural diversity and characteristics of the community 
  • Demonstrated ability to be selfmotivated and to work independently without close supervision

Physical and/or Mental Requirements


This is primarily a flexible and interactive position with employees working with clients in an office environment. The employee answers telephone calls and bends, reaches, and pushes and pulls file drawers to file records and reports. The position requires driving, picking up and carrying supplies to other work locations for meetings and trainings.  The position requires periodic lifting of inventory supplies (less than 10 lbs) to maintain the program inventory supplies. The position uses a computer terminal to access, input, and retrieve data.   Laptop computers may be used in the field and off-site.  Finger dexterity required operating a computer keyboard.  Requires adjustments to a changing workload and work environment.


Climbing stairs and walking is required.  The employee moves within the building to collect, deliver, and copy documents.   The employee visits provider offices and community-based organizations off-site.
