Job Description

Job Summary

Provides grants management support for specific Getty grant programs, including data entry and payment processing, and provides administrative assistance to a senior manager and/or one or more departments. Administers and tracks matching gifts for staff and Trustees.

Major Job Responsibilities

  • Works with Head of Grants Administration to resolve more routine Fluxx issues and other technology-related issues
  • Works with Getty Digital for software testing and troubleshooting
  • Processes general grant inquiries organization-wide, including composing appropriate correspondence, declination notices, and dissemination of eligible inquiries and filing
  • Provides administrative support for department head, including composing, preparing and producing a variety of business correspondence, reports, materials, calendar maintenance, and travel Provides administrative support for Grants Administration department
  • Processes grant requests for residential and other grant programs, including intake and application processing, and eligibility review
  • Prepare financial and legal analysis of non US grants
  • Receives and distributes all checks from Accounting, including grants, honorariums, and other payments
  • Creates and sets up grant files that meet legal, auditing, and Foundation requirements for all Trust-wide grant programs
  • Uses Fluxx to produce reports and data sets
  • Undertakes special projects as assigned


  • Bachelor's degree
  • Minimum of 4 years administrative experience in a non-profit organization; grants administration experience preferred
  • Advanced computer skills and demonstrated experience with Fluxx grant tracking software, office software and email applications

Knowledge, Skills and Abilities

  • Knowledge of and experience using Fluxx grant tracking software
  • Knowledge of html
  • Ability to apply legal, auditing, and Foundation requirements to Grants Administration functions
  • Aptitude for learning an analytical database and reporting functions
  • Basic understanding of IRS and foundation-specific regulations
  • Strong communications skills, oral and written
  • Excellent grammar and punctuation skills
  • Strong organizational skills, ability to multi-task and work efficiently
  • Proven ability to collaborate in teams across disciplines and build relationships
