Job Summary

The J. Paul Getty Museum seeks a Program Coordinator.  Under direct supervision of the Head of Museum, Public Programs, assists in all aspects of public programming, including scheduling, facilitation and coordination while also providing administrative support. Will assist with researching, developing, and implementing new and existing family and artist-based programs, concerts, and special projects at the Getty Center and College Night at the Getty Villa as well as other modes of public engagement around exhibitions.

Major Job Responsibilities

  • Works with internal departments to help coordinate public program logistics
  • May plan and execute public programs along with event sponsors (e.g., curators, directors, department heads)
  • Arranges catering, security, staffing and parking
  • Collaborates with outside vendors
  • Coordinates travel, accommodations and reimbursements for visiting artists, speakers and project researchers
  • Generates contracts and supporting documents for visiting artists or project researchers
  • Provides day-of support or coordination for public programs
  • Disseminates information to program attendees
  • Maintains records for assigned program spending and allocated budget
  • Provides administrative support including ordering and inventorying supplies
  • Archives program records, guest lists, and archives
  • Creates/maintains project calendars and calendars of events
  • May maintain public program budgets and spending


    • Bachelor’s degree

    • 1-3 years of project/process management and/or event planning experience as well as administrative experience

Knowledge, Skills and Abilities

  • Ability to manage projects, beginning to end
  • Strong communication skills and ability to work with people at multiple levels throughout the organization
  • Ability to manage, multiple, sometimes competing deadlines
  • Proficient in all basic office software and procedures
  • Ability to manage last-minute changes and troubleshoot urgent situations
  • Comfortable integrating ongoing office administration into project-driven workload
