Job Description

Chinese Culture Foundation of San Francisco (also known as Chinese Culture Center or CCC) is seeking an Office Manager, a dynamic leader who is committed to arts in the intersection of social justice and education.

The Office Manager is a critical member of the administration who manages CCC’s operations, including human resources, and oversees the facilities and rental program. S/he assists the Executive Director and the Board of Directors to cultivate relations with donors and strategic partners.

The Office Manager’s responsibilities include:

Operations

  • Manage the Foundation’s operations as outlined in the Manager’s Manual
  • Manage the Foundation’s rental program and event logistics with clients; identify their needs and ensure customer satisfaction with Foundation’s rental spaces
  • Manage insurance and appropriate government filing
  • Manage office equipment, usage and appropriate supplies
  • Supervise all procedures related to professional appearance and efficient functions
  • Manage annual audit by working with accountants and auditors
  • Supervise the flow of work relating to a professional workplace

Relations with Justice and Event Space

  • Manage relationship between the Foundation and the Landlord, including CCC’s right to event space (A, B, C and other dates)
  • Annual submission of reserved dates (A, GB, and B)
  • Annual CPI adjustment
  • Serve as liaison between CCC and JI, represented by the General Manager of the Hilton Hotel Financial District

Human Resources

  • Create, update, and maintain human resource system records
  • Assist in implementation of personnel policies and procedure
  • Maintain compliance with federal and state regulations concerning employment
  • Liaise with accountant/bookkeeper to review and ensure accuracy of timesheets
  • Ensure proper flow and maintenance of employee data
  • Support the accounting procedure with moneylog

Board of Directors and Executive Director support

  • Provide high-level executive assistance and direct support to Executive Director and Board
  • Coordinate Foundation’s Board meetings and events. Prepare and compile agenda and all support materials for meetings
  • Create, maintain, and file Board related materials

Celebrating its 53rd anniversary this October, CCC recently adopted an ambitious strategic plan that renews the organization’s commitment to creativity, social justice and community building. The 5-year strategic plan outlines its next phase of growth, including neighborhood place-keeping, citywide programming, regional impact, global collaborations and fund development goals.
