- MA in Behavioral Science, but does not need to be registered with BBS.
- Two years’ experience in sales or marketing environment.
- Computer literacy including Windows, Word, and Excel experience required.
- Strong team and organizational and time management skills.
- Good oral and written communication skills, including positive face to face and telephone interaction skills.
- Ability to multi-task and perform general administrative duties, including record-keeping.
- Bilingual English/Spanish preferred.
- Familiarity with L.A. County.
- Ability to work in multi-cultural environment required.
REPORTS TO: Program supervisor II or above
- This role’s primary purpose is to make the community aware of mental health services available at Children’s bureau and assist clients in overcoming impediments and obstacles to their obtaining needed treatment.
- The most significant tasks include presentations in various markets to help educate clients of the various therapeutic services that are becoming available, i.e., various Evidence Based Practices, new funding streams, preparation of marketing material, developing potential referral systems, tracking the effectiveness of efforts.
- This role may also assist in the provision of general administrative support including receptionist and secretarial responsibilities.
DUTIES AND RESPONSIBILITIES:
- Works within a team-oriented approach to meet the needs of the client, families, community and the stakeholders and to ensure excellence in overall service delivery in office, home, schools and community.
- Disseminate information about Children’s Bureau’s mental health services.
- Must develop a good understanding of each service (MHS, MEDS, Day Treatment, Case
- Management, etc.), the various treatment modalities and Evidence Based Practices (EBPs) funding stream to ensure effective connection of clients to match service to need.
- May complete/document requests for service.
- Enter information into Activity Tracking System (ATS).
- Create reports to measure effect of marketing efforts.
- Develop marketing materials.
- May enter potential client information and therefore may need to have an understanding of Medi-Cal/Short Doyle manual. Remains compliant to HIPAA and other applicable state laws governing confidentiality.
- Ensures that all notes are filed in a timely manner when requested to do so.
- Conducts the initial data gathering for any/all referrals.
- May assist with the financial aspects of initial intake.
- May assist with the implementation of patient receipt systems, patient financial information and UMDAP system for the office.
- Works with the Therapist Assistant to verify Medi-Cal eligibility at intake and notifies supervisors, MIS Administrator and therapists of any irregularities if necessary.
- Collaborates with Program Supervisor on caseloads and work flow and ensures that directives and policies and procedures associated with access to services are implemented in a timely manner.
- Provides administrative and clerical support to include receptionist duties, and maintenance of outreach calendar of events and room schedule for office use.
- Maintains confidentiality in matters of agency operations, personnel, and clients.
- Maintains positive communications with all agency staff, clients and visitors.
- Exercise good judgment in performance of duties and responsibilities.
- Supports existing agency policies, principles and mission.
- Other related duties as assigned.
