POSITION SUMMARY:  The Event Coordinator works with an integrated team committed to delivering high-quality events, conferences and programming to the College’s internal and external audiences. The Coordinator works collaboratively with colleagues in the planning and production of events, conferences and other public programming of various kinds, themes, purposes, sizes, and locations (some of which may take place off-campus), and maintains standards of excellence for public programs, conferences and events organized by the College. Essential functions include, but are not limited to providing administrative support, event coordination, and communications support.  This position reports to the Assistant Director, Conference and Event Planning.


QUALIFICATIONS:  High School Diploma or GED is required, or equivalent combination of education and experience.  Bachelor’s degree in Business Management or related area is preferred. A minimum of 2 years of experience in event management or combination of event planning and other administrative and public relations experience is required. Experience in hospitality management or at an academic institution is preferred.  Must possess excellent organizational, customer service, and project management skills, and ability to adhere to tight deadlines. Must be able to lift and carry up to 25 pounds. A valid driver’s license is required or equivalent means of reliable transportation to off-site meetings and events.


Specific responsibilities include, but are not limited to:

  • Utilizing spreadsheets and data bases to prepare, track and report on event budgets as well as to track and follow up on event implementation tasks.
  • Preparing briefing materials for key events as directed and managing correspondence with guest speakers, artists and/or their agents.
  • Meeting with faculty, staff and students to discuss event support needs.
  • Working closely with staff and vendors to meet the College’s standard of excellence for event set-up, food and beverage catering, displays, promotional items, etc.
  • Providing on-site support for clients/renters/guests during events/performances to ensure adherence to contract requirements and achieve high levels of satisfaction.
  • Coordinating the creation and/or gathering of content used in mobile applications for events.
  • Maintaining a College-wide online events calendar working with offices across the College to keep up to date and keeping event-related website content current.
  • Managing email and targeted marketing lists.


REQUIRED HOURS:  The regular hours for this full time position are 8 a.m. to 5 p.m., Monday – Friday.  Weekend and evening work hours will be required. Travel may be required. Regular hours may vary due to needs of the College or division. Must be able to work long hours with a flexible schedule.


ADDITIONAL POSITION DETAILS:  Regular, full-time, non-exempt.  Starting pay rate: $22.26 per hour.
