JOB DESCRIPTION

SUMMARY/OBJECTIVE

The IT Coordinator maintains the information technology systems, networks, IT equipment, databases, and back-end administration for the website and other online programs for the Pasadena Humane Society. Responsible for performing both technical and administrative tasks to ensure functionality and efficiency of all computer and telecom systems, including computers, networks, website, internet access, telephone lines, credit card lines and other technology.

SUPERVISORY RESPONSIBILITIES: IT Associate

JOB DUTIES AND RESPONSIBILITIES

  • Develop, manage and institute the plan and protocols for the use of IT across all departments and projects including development of timelines, policies and procedures, strategic goals, program development, goals and implementation.
  • Develop and maintain information technology systems, networks, oversee database management, and email systems.
  • Ensure purchasing and installation of software, hardware, and all organization’s technology, including, phones, computers, and more.
  • Ensure maintenance, troubleshooting, repairs, data restoration, organization, back-up and other items as needed for database requirements.
  • Maintain licenses and upgrade schedules.
  • Oversee upgraded and new IT projects and programs. Provide technical support and/or training for all systems, networks and databases.
  • Work with PR/Marketing to ensure success of the website and online strategies.
  • Work with the Outreach Department to ensure all event IT needs are met.
  • Assist in the development and oversight of budgeting for IT expenses, including the purchase of new software and equipment.
  • Diagnose issues when computers or other technologies are not working as they should.
  • Implement a plan for replacement/repair of equipment and technology.
  • Assist with the creation of manuals, PowerPoints, and trainings as it relates to organizational technology.
  • Supervise the IT staff including scheduling, payroll, training, reviews, progressive discipline and general workability of the work force.
  • Develop, maintain and oversee positive relationships with IT vendors and support service providers to maintain standards and functionality as well as resolve issues more quickly.
  • Develop and analyze reports as required.
  • Maintain accurate records.
  • Order supplies and keep up-to-date inventory.
  • Ensure a positive, educational approach to customer service with a goal of educating the public and keeping animals in homes as appropriate. Promote positive relations with the general public, volunteers and staff while promoting the Society’s programs, policies and philosophies. Address customer complaints.
  • Uphold Pasadena Humane Society’s mission and contribute to building a culture of philanthropy.
  • Ensure a safe working environment and actively participate in PHS safety programs.
  • Participate as needed in special department projects.
  • Work as a team member with other departmental managers.
  • Represent PHS at outside meetings, act as a liaison with other organizations and contractors/partners as needed. Make presentations and speak publically about PHS.
  • Perform other duties as assigned.

REQUIREMENTS AND QUALIFICATIONS

  • Must interact positively with supervisor, management, coworkers, volunteers, and the public to promote a team effort and maintain a positive and professional approach.
  • Must come to work regularly and on time, follow directions, take criticism, get along with coworkers and supervisors, treat coworkers, supervisory staff, members and guests with respect, courtesy, and refrain from abusive, insubordinate and/or violent behavior.
  • Must participate in Mandatory All Staff Meeting every third Thursday of the month.
  • Must be able to work independently with minimal supervision.
  • Must have valid driver’s license with a satisfactory driving record.

SKILLS AND QUALIFICATIONS

  • Bachelor’s degree in Information Technology and 3 years related experience.
  • Proven experience as IT Coordinator.
  • Experience in network management with solid knowledge of IT systems and applications.
  • Understanding of TCP/IP protocols and LAN/WAN configuration.
  • Ability to troubleshoot and repair issues.
  • Must be able to demonstrate ability to learn and continue learning new systems and be willing to take on additional responsibilities.
  • Experience in HTML and CSS.
  • Experience with Active Directory (ADUC) and Microsoft Office required.
  • Experience with Crystal Reports and Adobe CC, desired.
  • Understands computer components and has skills to repair and replace as needed.
  • Maintains inventory to ensure replacement parts and equipment are available.
  • Is proficient in research and in assessing organization’s IT needs.
  • Ability to perform in a leadership role with professionalism and courtesy.
  • Possesses good communication skills to communicate with the team, other departments and staff.
  • Ability to perform multiple tasks and manage several projects simultaneously.
  • Strong communication and interpersonal skills.
  • Great attention to detail.
  • Strong sense of professional judgement and ability to maintain confidentiality.

WORK SCHEDULE

  • Must come to work regularly and on time. Must be available for early hours. Must be able to work early hours according to the needs of the department schedule, including weekends and holidays.

  • Fast-paced environment. Employees are exposed to numerous animals (live and deceased), including those with uncertain dispositions. They are required to act in a safe and responsible manner.

The employee must occasionally lift and/or move up to 50 pounds. Vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
