Walk With Sally (WWS), a 501c3 non-profit organization dedicated to providing mentoring support programs and services to children of parents (or with siblings) with cancer, is seeking a full-time (Monday – Friday 9am – 5:30 pm) Spanish Speaking, Program & Administrative Coordinator. This position will be responsible for the overall support and assistance to the Program Staff, helping to support programs, services, and project plans.                                                                          DUTIES AND RESPONSIBILITIES The primary responsibilities of this position include:   PROGRAM Conduct intake interviews and attend in-service meetings with children and families referred to the mentoring program and/or services Assist with the development and management of relationships with local schools and community-based organizations Communicate with prospective mentors, current mentors, and families to ensure all necessary information (i.e. applications, background checks, participation surveys) are completed and received by WWS in a timely manner. Coordinate monthly orientation sessions (“welcome sessions”) aimed at providing information about Walk With Sally Assist with the logistics and administration of monthly Mentor Trainings Assist with the organization of quarterly Friendship Activities for mentors, mentees, families and volunteers as a group (e.g., bowling trips, pizza parties, amusement park excursions, end-of-year events etc…) Assist and coordinate the matching process of mentees and mentors in the Mentoring Program Organize and maintain timely and accurate information within the organization’s various databases – Salesforce, smugmug, google doc, dropbox Maintain and update program blog on a regular basis Actively contribute to the program’s expansion and development in new communities Attend community events to help promote Walk With Sally programs Assist with other programs including: HeART to Home Program: An Expressive Arts Program, Molly’s Corner, and Temporary Family Support Work with the Program staff to monitor and maintain program quality on an ongoing basis Complete other duties and activities as needed   DEVELOPMENT/SPECIAL EVENTS/OFFICE ANDIMINSTRATION Provide general administrative and clerical support including mailing, scanning, and copying. Manage agenda and calendar for organization meetings Ensure online event calendar is updated on a regular basis Communicate with building management and other vendors as needed Research and secure all in-kind donations for events as needed Solicit, either by letter, phone, or in-person and ask for a repeat of previous year's in-kind donation Assist in accounting for receipts of donations and execute thank you notes to key donors Manage volunteer relationships and ensure volunteers receive appropriate correspondence for special events Establish invitation process; maintain RSVP lists and guest arrangements Communicate with all event vendors securing COIs prior to event date Perform other special event/development duties as assigned   QUALIFICATIONS Minimum of a Bachelor’s degree, prefer MSW, with emphasis in social work, child psychology and/or education (eg. MSW, L.C.S.W, E.D.D) Experience working with youth-based nonprofits preferred Experience and skill in working with people from diverse backgrounds and cultures. Spanish speaking and writing is mandatory Excellent communication skills, both written and verbal (excellent telephone skills are vital) Skills in teamwork and supporting staff and volunteers. Proven organizational and administrative ability Have experience public speaking Ability to use word-processing and database software programs Experience in database and web management (i.e. Salesforce, WordPress, Classy, Pardot)

Walk With Sally is a non-profit organization whose mission is to provide mentoring support programs and services to children of parents or siblings with cancer.  In order to provide these free-of-charge services, we hold two annual large fundraisers, and increase our exposure through smaller more regular special events. The Special Events Assistant will work directly with the Special Events & Marketing Manager to ensure the effective completion of all Walk With Sally sponsored special events.  Throughout the summer we will be working on White Light White Night, our largest fundraiser of the year, as well as smaller mixers and other marketing related events. Specific Responsibilities/Duties:   Assist Manager in all aspects of executing large scale events, including invitation production, budgeting, seating, staffing, in-kind donor recruitment, volunteer relations, event committee, vendors (caterers, florists, designers, printers, entertainment, etc.) and marketing. Assist Manager with all other “donation-development/generating” sub-event activities such as silent auction, live auction, opportunity drawing, merchandise sales, donation appeal, mobile phone campaigns, social media donation campaigns, etc. Assist Manager with planning of pre-event mixer and post-event mixer functions (i.e. volunteer’s party, ticket launch party, VIP wine event) Communicate with volunteers in key leadership positions to ensure up-to-date event details. Assist in accounting for receipts of donations and execute thank you notes to key donors Research and solicit in-kind donations. Acknowledge event gifts accurately and in a timely fashion. Assist in tracking and processing event expenses. Event leader working directly with production staff throughout the week of the event. Graphically create event marketing materials, power point presentations, blogs, emails, etc. Tracking event and donor details within Salesforce.   Position Requirements:     Day-of-event supervisor for WLWN and other special events (managed by WWS or beneficiary event for WWS). Work in a team environment to effectively and positively represent Walk With Sally and its mission in the community. Work occasional evening and weekend events required. Perform all other duties as assigned related to development & special events. Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision. Have a passion for the non-profit sector and special event planning.   Experience: BA or BS in Communications, Marketing, Business, or Non Profit Studies Two years plus experience in marketing and/or special events. Proficiency in MS Microsoft Office, Excel and Powerpoint. Seasoned in Salesforce. Excellent verbal and written communication skills. Extremely organized, detail oriented, information prioritization and time management skills key. Pleasant and outgoing personality w/ a professional demeanor.

Assist in accounting for receipts of donations and execute thank you notes to key donors 3. Assist in tracking and processing event expenses. 4. Research and solicit in-kind donations. 5. Assist event leadership as needed. 6. Assist with all marketing and public relations needs including social media, email campaigns and website updates through WordPress. 7. Create and Execute Volunteer Thank You Party following the major fundraiser under the supervision of the Special Events Manager. Experience: Interest in the non-profit sector and previous special events experience is a plus.

Under the direct supervision of the Program Manager, the Program Intern will be responsible for the overall support and assistance to the Program staff, helping with programs and services, and providing administrative functions for the entire organization. By working with Walk With Sally, the Program Intern will be able to experience all facets of a fast-paced, growing nonprofit, while focusing primarily on program maintenance and development. The primary focus is serving the children (and families) coping with a parent’s cancer through all of our support programs and related services. Specific Responsibilities/Duties: Assist in intake information for children and families referred to or exploring participation in the mentoring program and/or services Assist with the development and management of relationships with local schools and community-based organizations Assist and coordinate the matching process of mentees and mentors in the Mentoring Program Attend various outreach events and meetings as a representative of Walk With Sally Maintain timely, accurate contact information in the organization’s databases: Salesforce Complete other duties and activities as needed Experience: Interest in the non-profit sector, and experience working with people from diverse backgrounds and cultures.
