The Mission KIPP LA Public Schools is a non-profit organization that operates free, open-enrollment, college-preparatory public charter schools serving students in South, Southeast, and East Los Angeles. KIPP LA’s mission is to teach the academic skills, foster the intellectual habits, and cultivate the character traits needed for our students to thrive in school, college, and life. KIPP LA currently operates 17 schools and serves approximately 7,200 students. Our team is expanding rapidly; over the next five years, we will more than double the number of students we serve. The Opportunity Reporting to the School Leader and accountable to the Regional Operations Team, the Associate Director of School Operations & Human Resources is the operational leader of KIPP Adelante Preparatory Academy located in San Diego. They are responsible for all matters of school administration that do not directly relate to instruction or student behavior. This includes budgeting, purchasing, facilities, food services, transportation, technology, student recruitment, student data, regulatory compliance, human resource administration, and academic operations support. This position is critical to KIPP LA’s theory of action as it provides the school leader and instructional leadership team the opportunity to focus almost exclusively on teaching, learning and talent development within the school. The Associate Director of School Operations & Human Resources will manage the school operations team, serve on the school leadership team, and act as the primary liaison to regional teams. School Operations Leadership & Operations Team Management In partnership with the School Leader and the Regional Operations Team, develops and executes the school-wide operations vision that supports the academic and cultural vision of the school Plays a leadership role in the school’s strategic and annual planning and budgeting processes Hires, manages, coaches, and develops school operations team members (including front office team members and vendors) and holds them accountable to goals and outcomes Serves as the primary point of contact for regional teams, responding to requests and collaborating with teammates across the region to build scalable, region-wide systems, policies, and procedures Finance & Purchasing Serves as the first school-based point of contact regarding finance and works with the regional Finance & Accounting Teams to ensure financial compliance and reporting Works with the School Leader and the regional Finance Team to develop and manage the school’s budget Actively manages the school budget throughout the year by participating in monthly budget meetings to review budget variances, actively monitoring school spending, and proactively seeking opportunities to ensure spending is always aligned to the school’s academic priorities Updates school spending forecasts on a monthly basisReceive and confirm data on bi-weekly payroll sheets from the regional Finance Team Oversee deposit of school-based funds, including the management of petty cash Manages the school payment process for activity fees, uniforms, and meal balances Manages the school purchasing process by establishing clear systems for team members to request items, placing orders with vendors, tracking delivery, and coding and submitting purchases orders, invoices, and reimbursement requests to the regional Accounting Team Approves school purchases under a specific financial threshold Facilities & Maintenance Oversees resolution of most facilities issues, including maintenance, managing vendors/staff, signage/aesthetics, shared space coordination, and campus safety Ensures the maintenance of campus facilities by managing custodial personnel and third-party contracts for trash removal, recycling, landscaping, pest management and/or security Regularly conducts preventative maintenance and facilities walkthroughs and works with team members to ensure school’s culture promotes responsibility and shared accountability for cleanliness Ensures the main office is neat, well-organized, welcoming and has all pertinent family materials Coordinates and budgets appropriately for capital improvement projects Student & Family Services Manages front office team to drive positive family and community relations for the school through quality communications and interactions when entering the school building Serves as the eyes and ears of the school to ensure that all school operations run seamlessly each and every day, proactively problem solving and developing systems where needed Oversees all aspects of food service, including quality, managing vendors/staff, meal tracking, compliance, and meal delivery Oversees all aspects of student transportation including bus vendor management, arrival and dismissal procedures, and staff duty schedules to ensure eligible students receive transportation in a safe, reliable, and cost-efficient manner Owns all logistics (e.g. transportation, lodging, meals, staffing plan, etc.) of all off-site field trips and all on-site special events (Report Card Nights, Performances, Graduation, team member celebrations, etc.) Owns logistics of communications and external relations through family letters, weekly school bulletins, surveys, and visitors Leads the school opening/start up process each year to ensure that doors are ready to open by ordering furniture, equipment, instructional supplies, and ensuring that student services (e.g. food service, transportation) are ready to go Serves as point person for hosting visitors on school tours Student Recruitment & Enrollment Develops and manages student recruitment and registration strategy to ensure that the school begins the academic year with full classes and actively recruits to fill open seats Ensures that family info sessions, school tours, and the lottery and enrollment process are tightly planned and executed Oversees admissions database, including student recruitment, lottery and waitlist management Works to support student retention through family meetings, withdraw documentation, exit interviews, and other events Student Information, Testing & Academic Operations Support Manages systems for and maintains accurate student data and information in compliance with federal, state, regional and school expectations Works with the School Leader or Assistant School Leader to manage the logistical elements of all major student assessments Manages logistics of report cards/progress reports/transcripts Technology & Equipment Manages IT support and works with the regional Tech Team to plan technology-related enhancements Manages all school-based technology assets, maintains tight control of inventory and coordinates with IT to ensure that critical assets are functional and available at all times Risk Management, Compliance & HR Administration Ensures that the school is prepared for emergencies by conducting all drills and training team members on emergency plans Conducts moderate levels of employee relations in conjunction with CA, Federal law and KIPP LA policies and procedures, employment investigations plus seeking resolutions, ADA accommodations, Workers Compensation, general enhancement of team member morale and retention initiatives Reviews and assist in administration of performance improvement plans and disciplinary actions Partners with regional HR/Talent on the new hire process (e.g. interviews, new hire offer letters, onboarding) Ensures that school team members have complete, current, and accurate employee files and certifications; all personnel interacting with students have background checks on file; and schools comply with all areas of legal compliance (e.g. HR, FERPA, etc.) Completes the exit form for terminating employees and partners with the regional Human Resources team on any action items surrounding the exit logistics Administer leaves for the location partnering with the regional office Communicates leave needs and critical dates to school site and Human Capital team and assists in facilitation of employee leaves Understand and assist employees through the employment life cycle (on-boarding, benefits, performance management systems, and off-boardings) Present, communicate and partner with the regional office for large-scale human capital initiatives The Qualifications Bachelor’s degree required; graduate degree preferred 4+ years of work experience, preferably in education and/or business or operations management; 2-3 years human resources experience and/or PHR certification preferred Demonstrated management and leadership skills (e.g. at least 2 years managing a team or multiple large projects) Strong project and time management skills; ability to effectively backwards plan, juggle multiple priorities with great attention to detail, and deliver consistent and timely results Strong strategic and analytical skills with an aptitude for shifting from fire-fighting to systems-building Sense of humility, customer service mindset, and shows urgency and the ability to proactively solve problems and make decisions quickly Team player with strong interpersonal and stakeholder management and relationship building skills Ability to lead, influence, and hold others accountable to upholding high standards of operational excellence High level of comfort managing communications around employment issues High level of comfort with financial oversight and budgetary tracking Ability to be calm under pressure, especially in difficult conversations with families and team members Excellent organizational, verbal, and written communication skills Excellent computer skills, including
