JOB TITLE: PROJECT COORDINATOR- TECC
 
CLASSIFICATION TITLE: PROJECT COORDINATOR II
 
ETR is in need of an outstanding Project Coordinator! Are you interested in managing the daily operations for a project related to ETR’s Tobacco Education Clearinghouse (TECC) content areas?  Do you have experience with providing assistance to community based organizations, health departments, and/or schools/colleges? Are you eager to be in a leadership role and serve as a project liaison with clients, partners and other stakeholders? JOB SUMMARY
 
Reporting to the Co-Director for the CDPH/CTCP Tobacco Education Clearinghouse (TECC) the Project Coordinator will have complete ownership of the program management objectives plan. This individual will manage/monitor the project plan daily.  He/she will be responsible for tracking TECC scope of work objectives over the life of the contract. Coordinates and ensures delivery of assigned day-to-day deliverables with input and guidance from Co-Director. Project Coordinator will organize tasks, time, resources and staff assigned to the TECC project. This role does not supervise staff. This position participates in departmental and agency duties in addition to:
ESSENTIAL (CORE) DUTIES AND RESPONSIBILITIES (other duties may also be assigned)
 
  • Provides leadership in initiation and maintenance of project activities and oversees day-to-day operations of assigned projects.
  • Coordinate and implement entire scope of the TECC web platform, timelines and subcontractors including programmatic planning and assisting in development of technology initiatives.
  • Works independently to coordinate, develop, design and deliver all project services, protocols and activities, including planning, logistics, production, and implementation.
  • Oversight of project subcontractors as well as facilitate project meetings, as needed.
  • Researches, conceptualizes, and develops new ideas for all major trainings, workshops and presentations related to the provision of project activities.
  • Maintains expertise in project focus area(s), including staying up-to-date in research, program literature, interventions and strategies.
  • Works with other staff and consultants in the development and delivery of project activities.
  • Contributes to the development and management of project budgets, including under-spending or over-spending. Understands how project costs fit into the larger budget.
  • Provides written contributions to the strategic planning and helps conceptualize potential projects.
  • As directed, independently writes progress reports or sections of progress reports.
  • Takes a leadership role in resource development efforts to sustain projects beyond their initial funding period.
  • Serves as project liaison, interacting collaboratively and effectively with clients, partners and other stakeholders.
  • Contributes to departmental resource development efforts through contributions to conceptualization of new project ideas, proposal writing, budget development and communications (as appropriate) with potential funders.
  • May serve on Department Senior Management Team
  • Contributes to the development of department policies
  • Assumes leadership in establishing positive department morale and cohesiveness.
 
OTHER: (TECC Project)
  • Collaborates with the Project Director to recruit and convene an advisory board with the required representatives.  Coordinates the advisory board’s review of materials as needed.
  • Collaborates with staff to maintain all social media outlets and assist with the coordination of online learning communities and material development.
  • Works with the Webmaster to develop and refine project website, and tracks/monitors the development of an online TECC catalog of relevant materials and supplemental curricula that support CDPH/CTCP focus areas.
  • Assists with developing content for Partners postings, project newsletter, social media and marketing material.
  • Attend local and regional tobacco meetings as directed by Project Co-Director.

Job Requirements:

SPECIFICATIONS:
  • (Master’s degree or MPH) in related field; or BA/BS degree with five years of equivalent experience in related field.
  • Three to five years of experience with providing technical assistance or capacity building assistance to community based organizations, health departments, and/or schools/colleges. 
  • Minimum of three years’ experience as project coordinator or manager.
  • Minimum of one year of experience in the management and coordination of multiple programs/projects overseeing project staff and/or consultants.
  • Comprehensive knowledge of public health, tobacco prevention and cessation, health, training theory and approaches.
  • Strong skills in group facilitation and presentation as well as organizational, interpersonal and leadership.
  • Ability to provide initiative and independently manage a complex project with multiple tasks from conception to completion.
  • Ability to balance completion of designated project tasks, both short and long-term, with the performance of routine duties.
  • Ability to meet short deadlines, and willingness to work additional hours during deadline periods.
  • Ability to travel as assigned.
  • Valid California driver’s license, acceptable DMV record and proof of auto insurance required.
